Privacy Policy

This Privacy Policy explains how JWava ("JWava", "we", "us") collects, uses, and protects personal information when you use the JWava platform, including the JWava web application and the JWava mobile app (together, the "Service"). JWava is a workforce and enterprise-resource-planning (ERP) platform. When your employer or organization uses JWava, that organization is the controller of your data and JWava processes the data on its behalf under our agreement with it.

1. Information we collect

Account & profile data: your name, work email address, phone number, job title, department, and the employee record your organization maintains about you (for example national/Iqama ID or work-permit details where your employer records them).

Attendance & location data: when you check in or out using the mobile app, we collect your device location at that moment to verify that you are inside the work site your employer has defined (geofencing). Location is captured only at the moment you check in or out — the app does not track your location continuously or in the background.

Device & notification data: a push-notification token and basic device information (device model and operating-system version) so we can deliver notifications such as leave approvals.

Usage data: attendance records, leave and other requests you submit, and technical logs (such as IP address and timestamps) generated when you use the Service.

2. How we use your information

To provide the Service: recording attendance, processing leave and other HR requests, and operating the ERP features your organization has enabled.

To verify attendance: comparing your check-in/check-out location against your employer’s defined work site.

To send you notifications you would expect, such as the status of a leave request.

To secure the Service, prevent fraud and abuse, and comply with legal obligations.

3. Legal basis

We process your data to perform the contract between JWava and your organization, to pursue the legitimate interests of your employer in managing its workforce, and to comply with applicable law. Where the law requires consent — for example for precise location — the Service asks for your permission on your device, and you can decline or withdraw it through your device settings (though attendance check-in will not function without location permission).

4. Location data

The mobile app requests location access solely to confirm you are physically at your work site when you check in or out. We collect a single location reading per check-in event. We do not sell location data, we do not use it for advertising, and we do not track you between check-ins or while the app is closed.

5. Sharing and disclosure

Your organization: your data is visible to authorized administrators within your own organization (such as HR and your managers), according to their permissions.

Service providers: we use trusted infrastructure providers (for example cloud hosting and push-notification delivery) that process data on our behalf under confidentiality obligations.

Legal: we may disclose information where required by law or to protect the rights, safety, and security of users and the Service.

We do not sell your personal information.

6. Data retention

We retain your information for as long as your organization uses the Service and as needed to provide it, and thereafter as required to meet legal, accounting, or reporting obligations. Your organization determines retention of its records; you may ask it to correct or delete data it holds about you.

7. Security

We protect your data with encryption in transit (HTTPS), access controls, tenant isolation so each organization’s data is kept separate, and audit logging. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard measures.

8. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and object to or restrict certain processing. Because your employer controls your employment records, please direct these requests to your organization; we will support it in responding. You can also contact us using the details below.

9. Children

The Service is intended for use by employees and is not directed to children under 16. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date above. Material changes will be communicated through the Service where appropriate.
